Four branches, four spreadsheets, and no number you trust by Friday.
Multi-branch preschool management goes wrong in a specific way. Each centre runs itself competently. Head office asks a simple question — how many children do we have, what did we collect, which branch is struggling — and the answer takes three days and arrives as four spreadsheets that do not agree, because each was maintained by someone with a slightly different idea of what counts.
Kibiscope is not a separate product for chains. Each branch keeps its own working view, and HQ gets the roll-up across them: student numbers, each branch's share of the network, per-branch collections, and a flag when a branch drops below the network average.
Each branch runs its own day
A teacher in Baner should see Baner. A front desk in Chinchwad should not be scrolling past another centre's roster to find a child. The branch view is the working view, and it is the one staff spend the day in.
That matters more than the reporting. A cross-branch tool that makes the daily work harder gets abandoned by the people doing the daily work, and then the roll-up is measuring nothing.
What HQ actually gets
The roll-up is deliberately a short list of things an owner acts on, rather than a dashboard of everything that could be counted.
- Student numbers, per branch and across the network.
- Each branch's share of the network, so a small centre is read in proportion.
- Collections per branch, alongside the network total.
- A flag when a branch drops below the network average — the point is to notice early, not to rank centres against each other.
Franchise and owner-operated are different problems
An owner-operated chain wants one way of working across centres. A franchise network has franchisees who run their own business and will not accept head office reading everything, and whose data is arguably theirs rather than yours.
Worth raising in a demo rather than assuming: tell us which you are, because the useful answer about who sees what is different in each case, and we would rather set it up correctly than have you discover the assumption later.
One honest note about scale
Kibiscope is pre-launch. No school is running on it yet, which means nobody has run a twelve-branch network on it either, and we are not going to imply otherwise by quoting a number.
What we will do is set your first branch up by hand with you — register imported, classes and fee heads configured, staff walked through it — and the first month is free while that happens. If you run several centres, start with one and add the others once the way of working fits.
Questions schools ask
- Can a branch see another branch's data?
- The branch view is that branch's own. What crosses branches is the HQ roll-up — student numbers, share of network, collections, and the below-average flag. If you are a franchise rather than an owner-operated chain, raise it in the demo: who should see what is a different answer in that case.
- Are we charged per branch?
- No. A branch is not a licence. Your plan is sized on the total active students across the network, with every module included, so adding a fifth centre only changes the bill if its children take you into a larger plan. Networks above 300 children are priced with us directly.
- How many branches has this been run on?
- None yet. Kibiscope is pre-launch and has no paying schools, so any figure we gave you would be invented. That is worth knowing before you commit a network to it, and it is why we set the first branch up by hand rather than handing you a login.
- Can we move branches over one at a time?
- Yes, and we would recommend it. Start with one centre, get the way of working right, then add the others. Nothing in the setup assumes you are migrating everything at once, or that you are starting in April.
- Does each branch invoice separately?
- Collections are tracked per branch and roll up to the network. Our own invoice to you is for the students active across the network in the month just ended — we bill in arrears, so there is no advance to reclaim if a branch closes mid-month.
