An admission CRM for preschools, not another notebook.
Most preschools do not lose an admission at the tour. They lose it in the four days between the phone call and the call back. An admission CRM for preschools exists for exactly that gap: one place every enquiry lands, one follow-up date attached to each, and one board where every open lead and its next call date sit in front of whoever is at the desk.
In Kibiscope that board is the Admissions module. It is in every plan, like all eighteen modules. Below is what it actually does, and where a notebook or a spreadsheet is genuinely good enough.
Where preschool enquiries actually go missing
An enquiry reaches an Indian preschool three or four different ways, and rarely the same way twice. A mother rings during nap hour and whoever is nearest answers. A family walks in at pickup because they read the board outside. A message arrives on the school's WhatsApp at eleven at night. A parent already with you mentions her sister-in-law.
Every one of those is a name, a child's age, and a month the family wants to start. In a notebook the name usually survives and the other two do not. The deeper problem is that the notebook has one copy, it lives at the front desk, and it cannot tell you on Thursday that Tuesday's caller was never rung back.
- The enquiry nobody wrote down, because the person who took the call was in the middle of something else.
- A follow-up everyone assumed somebody else had made.
- A walk-in family whose number is on a slip of paper in a different drawer.
- No answer, at the end of an intake, to the simplest question an owner has: of the families who asked about us, how many joined?
Capture: one enquiry record, however it arrived
The Admissions module starts with the record rather than the pipeline. Each enquiry carries the child, the age group and intake being asked about, the parent's contact details, and how the family found you. That last field is the one schools skip and later wish they had kept, because it is the field that makes a funnel worth reading.
Be clear about what the software does and does not do here. Kibiscope does not read your WhatsApp inbox and it does not answer your phone. Somebody at the front desk still types the enquiry in. What changes is that there is exactly one place to type it into, everyone with the right role sees the same list, and it sits on the same system as the child's record will if they join — so nothing is keyed in twice at enrolment.
Follow-up discipline: the date does the remembering
The board moves an enquiry through the stages a preschool admission actually has: first contact, follow-up call, school visit, enrolled. The card carries the follow-up date, so the next call on every open lead is written down rather than remembered, and the intake's remaining seats are shown live against sanctioned class strength. A follow-up call sounds different when the person making it knows there are five seats left in Nursery.
What it will not do is chase for you. There is no automated message to the family, and we are not going to pretend otherwise. Admissions follow-up is a person picking up a phone. The software's narrower job is to make sure that person knows who to ring today, and that the outcome of the call is written where the owner can see it rather than in the margin of a diary.
Conversion visibility: what an admissions funnel tells an owner
Once every enquiry is on the board, the funnel comes free. Analytics reads enrolment, occupancy and revenue for a single centre and across branches, and the admissions view shows the stage where leads are stalling, with conversion tracked per source. That is a different order of information from a headcount. It turns admissions from a feeling into four answerable questions.
- Which stage loses people — are enquiries dying before the visit, or after it?
- Which source converts — so a hoarding, an Instagram page and word-of-mouth referrals can be compared on the same funnel.
- How full this intake is — enquiries and enrolments against sanctioned strength, seat by seat.
- Which branch is behind — each centre reads as its own funnel and as a share of the network, if you run more than one.
The handover: enrolled today, invoiced today
Enrolling from the board creates the student record and raises the first invoice in one action, which is the join most schools do by hand and sometimes not at all. Fees applies GST per fee head — preschool tuition is exempt, but a good deal of what a school charges for is not — and invoice numbering is gap-free, because a legal series with a hole in it is a problem you find during an audit rather than during a busy April.
One honest limit: Kibiscope records payments, it does not collect them. There is no payment gateway. You take money the way you do now — UPI, cash, cheque, transfer — and record it against the invoice, where it settles the oldest dues first. The weekly dues reminder runs on Monday morning. And once a family is enrolled, Communication takes over the conversation: announcements and direct messages inside the app, still findable in March, which is the one thing a WhatsApp group is worst at.
Notebook, spreadsheet or an admission CRM: an honest comparison
A notebook is not a joke. If you take fifteen enquiries an intake and enrol twelve of them, the notebook is faster than any software and a system will feel like an imposition. Know your own volume before you buy anything, including this.
The spreadsheet is the real competition. It holds the same fields, it sorts, it costs nothing, and it has carried thousands of preschools a long way. It gives way on three specific things: two people editing at once, a follow-up date that only helps whoever remembers to look for it, and no link to the child's record or the fee ledger after enrolment. Most schools do not abandon the spreadsheet because it broke. They abandon it when a second branch opens and there are now two spreadsheets that disagree.
- A notebook gives you one copy at one desk and no conversion rate. Adequate below roughly twenty enquiries an intake.
- A spreadsheet gives you fields and sorting, but the follow-up date sits there passively and nothing connects it to fees.
- An admission CRM adds stages, live seat counts, per-source conversion and a one-tap handover into the student and fee records.
- None of the three makes the call. Someone at your school still has to.
Questions schools ask
- Does it capture WhatsApp and phone enquiries automatically?
- No, and we would rather say so plainly than let you find out later. Kibiscope does not read your WhatsApp inbox and it does not answer your phone. Whoever takes the enquiry types it onto the Admissions board. What the software removes is the second copy, the missing follow-up date and the retyping at enrolment — not the thirty seconds of data entry.
- Will it chase parents for us with automatic reminders?
- No. The follow-up date sits on the enquiry card for your staff; it does not send an automated chase to the family. The only scheduled thing pointed at families is the fee dues reminder, weekly on Monday morning, and that is for enrolled families rather than leads. Admissions follow-up is still a person picking up a phone — we only make sure they know who to ring.
- What happens to the enquiry list we already have?
- Bring it to the setup session. We set your school up with you by hand rather than handing over an empty account — students, classes and fee heads come across from your spreadsheet, and we will work out with you how to get your open enquiries in at the same time. Setup is included and there is no setup fee.
- Is the admissions module charged separately?
- No. Every plan, from ₹9,000 a year exclusive of 18% GST, has all eighteen modules — Admissions, Fees, Analytics, Communication and the rest. There are no feature tiers, no per-feature add-ons and no setup fee, and your first month is free while we get you running. Plans are sized by active students, so enquiries sitting on the board never push you into a bigger one.
- Can we see which marketing actually brings enrolments?
- Yes, to the extent that you record the source when the enquiry is taken. Conversion is tracked per source, so the hoarding at the junction, the Instagram page and word-of-mouth referrals sit on the same funnel and can be compared. What Kibiscope cannot tell you is what each one cost — that comparison still happens in your books.
- Who at the school can see the admissions board?
- Whoever you give the role to, which is usually the owner, the principal and the front desk. Access follows the job: a class teacher does not get the admissions pipeline or the fee ledger. Staff work in the web console in any browser with nothing to install, and parents only ever get the mobile app — there is no admin screen for a parent to land on.
- How many preschools are using this today?
- None. Kibiscope is pre-launch and we are looking for our first schools now, which is why you will find no customer counts, testimonials or ratings anywhere on this site — there is nothing honest to put there yet.
